When lodging invoices and booking confirmations disagree
Cancelled nights, no-show fees, and name mismatches — how we note them on travel expense applications.
Lodging is usually the largest line on an overnight travel expense application. It is also where documents most often disagree with each other.
Three documents, three stories
We commonly receive a booking confirmation, a credit-card slip, and a hotel tax invoice. Each may show different dates or amounts after a late checkout, a room change, or a cancelled night still billed as a no-show fee.
In an application audit we line up:
- Nights claimed vs. nights on the invoice
- Guest name vs. employee name (and any third-party booking notes)
- Rate before tax vs. policy ceiling for that city tier
No-show and cancellation fees
Whether a no-show fee is reimbursable depends on your policy and whether the cancellation was business-driven. We mark the fee and the supporting cancellation notice; approval remains with the controller.
Shared rooms and split folios
When two employees share a room, applications sometimes each claim the full folio. We flag mirrored amounts and ask finance to confirm the intended split. The findings pack lists both claim IDs so the desk can resolve once.
Practical tip for travelers
Ask the front desk for a final folio that matches the nights stayed before leaving. Catching a date error at checkout is cheaper than explaining it weeks later in a reimbursement queue.
